What to consider when hiring a training venue?

Simple tips to ensure you find the perfect training venue to hire.

Your first impression of a venue will make or break your experience. If you walk into an unpainted cinderblock walled, floorless building with an old 1970s TV and a filthy washer and dryer, and a sign that says “Looking for a place to park the RV,” this would not leave a good impression to say the least! When visiting a venue, you will notice whether the facility is well maintained and clean, but also get a sense of how easy or difficult the space is to manoeuvre around.

Here are a few questions that include what to consider when hiring a training venue:

● Is it a hotel conference room or a school or training venue?
● Does the facility meet your standards?
● What does the facility have available for lighting?
● Can you use wireless audio in the space?
● Does the facility provide complimentary beverages?
● Is there security?
● Do they have a dedicated phone line?
● Does the venue offer catering, if so what is the food and beverage cost on a per-person basis? 

When you are in talks about the training room, you will want to take a tour to get a feel for the space. You will want to see the location for yourself, so get a feel for whether it is in a safe neighbourhood, and whether or not it is handicap accessible.

Here are a few other queries that need to be noted:

1. Do they allow pets? If so, will you have to clean up after your pet and keep their waste off the premises?
2. Is there a place for guests to rest? For those who are getting up and moving around throughout the day, and/or for those who prefer to stand during their presentations.
3. Are there restroom facilities?
4. How does the space feel? Does it feel cold or too warm? Does it have lots of stairways or are the stairs easy to get around? Is there an elevator for those with mobility issues?
5. Is there a place for attendees to recharge and meet with other attendees?
6. How long is the space going to be utilized? What is the capacity of the venue?
7. What is the food and beverage cost on a per-person basis? Does the venue provide food? If so, are there vegetarian or gluten-free options?
8. Do you provide a coat check service? Are there toiletries provided?
9. Do they have an emergency plan?
10. Does the training facility provide a parking space? Is the parking available 24/7?
11. Is the venue accessible? Can I request wheelchair or mobility aids for those who need them?
12. Are there signs indicating where handicapped parking is available? Are the handicapped parking spots marked?
13. Is there space to set up a mobile stage?
14. What are your training room policies? For example, if I cannot turn my presentation monitor from side to side.
15. What is the expected number of attendees? Will the venue provide separate lounge for all participants?
16. Does the venue have a free Wi-Fi network?
17. Is it easy to navigate the venue?

Like the type of meeting room you require, you also need to look at the number of people it will accommodate. Will it be for 10 people, 20 people, 100 people, or more? This will influence the price and often the room is available on a first come first serve basis.

Room hire price

Consider price not only on a monthly basis but also on a yearly basis. These tend to be significantly cheaper over the longer term. But it is important to factor in the cost of hiring a meeting room and possible change fees. Go for a cost effective option for the longest term and budget for any change fees that may come with the bookings.
